Description: The city is open to repair and replacement of the existing systems and holistic solutions which replace all existing units with a centralized commercial solution. This request is not expected to exceed the dollar amount requiring the “Sealed Bid” procurement process. Should the cost of the work described exceed that threshold, the City of Beaufort will draft a formal RFP and begin the sealed bid process.

Overview:
1. Q. Will the contractor be required to hold a building permit?
A. Yes. However, the building permit will be at no cost to the contractor.
2. Q. When is work on this project proposed to start?
A. Work on this project will start during calendar year 2022, before 2023.
3. Q. Will a timeline need to be included in the bid proposal?
A. Yes. Please include an estimated start date & timeline for completion in the bid proposal.
4. Q. What qualities will City of Beaufort consider when ranking bid proposals?
A. The city will consider past quality of work, years of experience, etc. not just bottom-line cost when ranking bid proposals.
5. Q. Is a maintenance contract optional?
A. Yes. We would prefer a quarterly 3 yr. maintenance plan be provided, but inclusion is not necessary.
6. Q. Is there a warranty required?
A. Yes. Also, warranty specifications must be stated in bid proposal.
7. Q. Will smoke detectors near HVAC units need to be replaced?
A. Any smoke detectors near units 5 ton or more will need to be replaced. Cost of smoke detector replacement must be included in total bid cost.
8. Q. Will the maintenance plan include filter trade-outs?
A. Yes. The city is requiring any maintenance plan include quarterly filter trade outs.
9. Q. Are hardwired thermostats preferred?
A. Yes. However, we don’t have a preference in terms of thermostat brand. The mini split unit does not need to be wired.
10. Q. Will the city provide machinery to move HVAC units on/off the roof?
A. Only a boom lift will be provided by the city.
11. Q. Will the city require a specific SEER rating for heat pumps on 5-ton units?
A. Two of the 3 phase 5-ton unit heat pumps can be quoted as 14 SEER.
