Description: The City of Woodstock, Georgia is accepting bids from qualified contractors for the purpose of procuring and installing a replacement HVAC unit for the City Annex building.


Pre-Bid Meeting Date: 10/1/2020 10:00 AM

Pre-Bid Meeting Details: A mandatory pre-bid/site visit will be held October 1, 2020 at 10:00 A.M. at the City Annex Building located at 12453 Highway 92, Woodstock, GA 30188. Attendees will be able to view the existing HVAC unit during this time. Due to COVID-19, all attendees will be required to wear masks or face coverings and social distancing precautions will be in effect.

Question: In looking at the time of completion that is being expected, 30 days, is this once we get onsite to do the actual install? With this being a 70-ton unit the lead time on getting the equipment here exceeds the 30 days.

Response: Yes, the 30-day timeframe will begin once onsite. We understand there will be a lead time for the equipment.

Question: The new (replacement unit) will extend on the condenser end by 36”, how do you want us to price a solution? The easiest and most cost effective is a curb adapter that will offset the unit and raise it about 4 feet which will be above the screening. I would recommend that the new curb adapter have a walk way for ease of service

Response: Per the project manager and Assistant City Manager - Public Works the new unit cannot be four feet higher than the existing unit. Doing so may violate codes and regulations being that much higher. Furthermore, it would not be aesthetically pleasing for the unit to be above the screen, especially since the purpose of the screen is to hide the equipment. An alternate solution would be needed other than raising the unit four feet.

Question: The specifications request Trane equipment for the replacement RTU, will Daikin or York or any other manufacturers be acceptable ?

Response: The City will consider equivalent products. Unless otherwise specified, the items in this bid have been identified, described, and referenced by a brand name or trade name/mark that is intended to be descriptive, but not restrictive, and is used to indicate the quality and characteristics of products that may be offered. Other products may be considered for award if such products are clearly identified in the bid and are determined by the City to meet its needs in all respects. It shall be the responsibility of the bidder(s), including the bidder whose product is referenced, to indicate the brand name and model or series number of the product offered and to furnish with their bid such specifications, catalog pages, brochures, or other data that will provide an adequate basis for determining the quality and functional capabilities of the product offered. However, the City may elect to purchase brand name products or services when the goods comprise a major brand system, program, or service previously selected by the City and due to operation effectiveness, future enhancements or additions, or maintenance and storage of spare parts preclude the mixing of brands, manufactures, etc. Any information provided should be properly labeled. The City reserves the right to request product demonstrations and/or samples from any bidders prior to bid award. Failure to provide the requested data or product demonstrations and/or samples may be considered valid justification for rejection of bid.
