Question: Please provide additional clarification about the trips listed below. Based on the Pricing Page outlined on 1.2 Multi-Day Trips: how many days will these trips be paid for. Response: 8/17/2021 - Answer 1: It is hard to schedule a departure or arrival time for tentative trips. The Proposal states that ONE DAY trips that exceed 420 miles would be paid per mile or per day, whichever is greater. MULTI-DAY trips will be paid the minimum daily charge shown on page 14 OR per mile, whichever is greater. If the bus leaves UAH at 10:00 p.m. Tuesday and returns at 10:00 a.m. on Wednesday that will be calculated as a one-day trip (total of 12 hours) and not as a two-day trip (Tuesday and Wednesday.

Question: Please provide additional clarification about the round trip mileage for each trip: How is the round trip mileage calculated? How will the round trip mileage be certified between the vendor and UAH to ensure there are not any discrepancies? Will the university pay for "side" trips when requested by the coach/athletic staff to take university staff to Walmart, etc which will add additional miles to the total trip?

Response: 8/17/21 - Answer 2 Proposal pricing MUST include distances up to a 50-mile Radius from the Destination point. This should cover every extra trip that would be taken. ROUND TRIP mileage that exceeds 420 miles would be paid per mile or per day, whichever is greater. The coach and driver should certify the round trip mileage between the vendor and UAH to ensure there are no discrepancies.

Question: Can you clarify the total number of hours for a trip that falls within a One -Day Trip or what is the maximum number of hours that will be paid at the listed day rate? In your example for Multi-Day Trips you state that a 12 hour trip over two days is considered a 1 Day trip.

Response: 8/17/21 - Answer 3 One-day trips that are 420 miles roundtrip OR less will be paid at the listed day rate. One-day trips that exceed 420 miles roundtrip will be paid per mile or per day, whichever is greater. Multi-day trips will be paid the minimum daily charge or per mile, whichever is greater. Days are calculated on actual hours. IT WILL NOT RESET AT MIDNIGHT. Example: bus leaves UAH at 10.00 p.m. Tuesday and returns at 10:00 a.m. on Wednesday that will be considered as a one-day trip (total of 12 hours) and NOT AS A TWO-DAY TRIP (Tuesday and Wednesday).

Question: PAGE 1 under Intent states that the University of Alabama in Huntsville requires that all vehicles used to transport Teams, be in EXCELLENT, working condition, with fully operational equipment to maintain passenger comfort. Therefore, ALL BUSES used may generally be no more than six (6) model years old (2015) for extended or lengthy trips (>100 miles, or 2 to 3 hours), and no more than 8 model years old (2013) for shorter trips. The pricing proposal only requests for buses that are 2015 model or newer and 2016 model or newer. Can you clarify which trips are considered "shorter" trips where a vendor could use 2013 model. If there are trips that fall in this category, does the university request a separate line item?

Response: 8/17/21 - ANSWER 4 Shorter trips are LESS than 100 miles ONE WAY. The vendor could use a Model 2013. You may add a line item if the 2013 Model falls in this category.

Question: Performance Bond - How will university determine the Performance Bond required by the successful bidder? Will it be based on the round trip mileages provided or based on estimated number of billing days? Do you have an estimated range of what the performance bond should be based on this current schedule?

Response: 8/17/21 - Answer 5: When the vendor's trips add up to $5,000.00 and over they have to submit a Performance Bond of $1,000.00 to UAH.

Question: 1) Multi day trip departs on Monday at 8:00am and returns back to pick up point Wednesday at 10:00am would this be charged as a three day trip? 2) Page 24 Performance Bond in the full amount of Award is this correct? 3) On the Scope of Work, some teams do not have complete schedules (Example Men's Basketball shows 02/19/2022 as last road trip before playoffs) Page 30 ask for charges based on one year, will other charters be added to the scope of work once bid is awarded. Will I need to include playoff dates in the figure on page 30?

Response: 8/17/21 - Answer 1 1. Multi-day trips depart on Monday at 8:00 a.m. and back on Wednesday at 10:00 a.m. is considered a 3-day trip. 2. Performance Bond of $1,000.00 will be for total trips over $5,000.00. 3. The goal is to have the rate and then once all games are scheduled (including playoffs) those games would be added and the charge would be based on the agreed-upon rate for the other games.
