Deadline: 12/21/2021 3:00 PM (UTC-06:00) Central Time (US & Canada)
Status: Awarded
Solicitation Number: RFP TDD 05-22
Description:
Destin-Fort Walton Beach seeks a firm with the expertise and capability to provide the following for the main Visitor Bureau website, the Film Commission website and the Convention Center website:
A
clean, user-centered, consumer-facing website to promote each entity. The newly
designed websites should be created with a mobile-first approach while still
being fully responsive. Everything should be smooth and well-integrated for
mobile while still responsive for other screen sizes such as tablets and
desktops.
Each website must be created following best practices for SEO indexability and follow the best cybersecurity practices. In the rebuild, an adaptable, open-source CMS must be used for hosting so Destin-Fort Walton Beach can make changes to the code independently. Destin-Fort Walton Beach must own the code and all assets for each website.
The website must represent the brand image and visual identity of Destin-Fort Walton Beach and adhere to the organization's brand standards. It also must serve as a valuable and interactive planning tool for potential and in-market visitors.
The
re-design and launch of the websites have an anticipated completion of December
1, 2022. All proposals must include ongoing services for hosting, maintenance,
and updates/enhancements for the term of the agreement.

Question 1
Posted: 11/18/2021
Question: What is the approved budget amount for this RFP?
Response: We have already responded to this question. Please see the public solicitation.
Question 2
Posted: 11/30/2021
Question: Is the $200k - $250k budget for the initial site work or the duration of the contract? Are you looking to retain usage of the Simpleview CRM for any data feeding to the website? Approximately how many partners will need to be using your partner portal? Do you have a full feature list for the partner portal at this time? What is the existing 3rd party chat platform as referenced in the RFP? Do you have any existing e-commerce needs for the site upon launch or is that support as referenced in the RFP a future need? Will you be continuing to use your chat agent on the new website(s)? What are your biggest pain points with the three current websites? Will all three sites need to launch at the same time? Will you be looking for content creation services as part of the proposal? Will you be looking for media creation as part of the proposal?
Response: 6. What is the budget for this project and is it for the initial site work or the duration of the contract? Annual maintenance is $215K based on our current software as a service contract, and we anticipate this cost will be greatly reduced based on an open-source software. Website rebuild is anticipated to cost $150K - $350K, depending on breadth of features/functionality. 7. Are you looking to retain usage of the Simpleview CRM for any data feeding to the website? No, we are not planning to retain the usage of the Simpleview CRM. 8. Approximately how many partners will need to be using your partner portal? We have approximately 150 current partners that will have access to the password-protected partner portal. 9. Do you have a full feature list for the partner portal at this time? No, we do not have a complete list at this time. The primary use for the partner portal is for partners to be able to input their own information for their company listings that will feed into the partner listing section of the website. 10. Do you have any existing e-commerce needs for the site upon launch or is that support as referenced in the RFP a future need? We’re looking for e-commerce functionality to be available upon site launch. As an example, we would like to be able to offer Adventure Packs for purchase through the website. Adventure Packs pair an adventure (e.g. paddle boarding) with a meal (i.e. boxed lunch). A visitor would pay the Adventure Pack price through our website, with the respective portions then being remitted to the two vendors through the e-commerce platform. We should be able to run reports of packs purchased, but would remain uninvolved in the transaction between visitor and Adventure Pack vendor. 11. What is the existing 3rd party chat platform as referenced in the RFP? We currently utilize LiveAgent as our third-party chat platform. 12. Will you be continuing to use your chat agent on the new website(s)? Yes, we will continue to use our current chat agent. 13. Will all three sites need to launch at the same time? Yes, all three sites should launch simultaneously. 14. Will you be looking for content creation services as part of the proposal? We are not looking for content creation services as part of the proposal. We will utilize our current content with updates. 15. Will you be looking for media creation as part of the proposal? No, we are not looking for media creation as part of the proposal. The new website should be designed to house our existing media assets.
