Question: Page 17 of the RFP states: Cap and Gown bundle (including tassel and diploma cover) Price per bundle $. Does the bundle price also include diploma inserts or only diploma covers as stated?

Response: Only diploma covers

Question: The Scope of Work on pages 16, 17 of the RFP does not include any product specifications. We need desired product details such as diploma cover/insert sizes and paper type, type of cap and gown, etc., in order to provide pricing.

Response: These things should be recommended by the vendor in their proposals to FCPS.

Question: Which products are purchased by the students/parents and which products are purchased by the school district?

Response: Caps, gowns, tassels, and diploma covers have been traditionally purchased by the student/family.

Response: Cap, gown and tassel. The student/parent is typically responsible for purchasing the product.

Response: This RFP is for graduation attire along with any other services/products the vendor would like to sell to families. Graduation attire is the main product we will be reviewing.

Question: Are athletic/club championship rings or awards included in this RFP?

Response: No. This RFP is specifically to look at graduation products. A vendor can submit additional information with other products or services they provide.

Question: Who determines what the cap and gown specifications are for each school? Color, design, placement of logos, etc. When are these specifications determined? The RFP just states to contact the school for logos on page 16 #13, but on page 17 it states "per RFP specifications" This same question would also apply to the diploma covers.

Response: The School determines specifications which are usually determined in August/September.

Question: Are diplomas and diploma printing included in this RFP?

Response: A vendor can add this cost in to their submitted price. I would suggest having a price with and without the covers and diplomas. Printing of diplomas is typically done in-house.

Question: Is there an estimated number of students that are in the graduating class of 2023? I understand that student enrollment is fluctuating all the time, so just a rough estimate of the number of graduates will be suffice.

The scope of work indicates the products of focus are “graduation caps, gowns, diplomas, diploma covers, and other graduation products.” However, all of the Vendor Requirements focus exclusively on cap and gown quality, materials, and delivery management. Are their any specifics regarding the diploma and diploma cover requirements – size, padded/non-padded, etc.? 2. The Cost Proposal Requests pricing for the cap and gown bundle (including tassel and diploma cover) – to clarify, this does not include the diploma as well, correct? Will that be printed in-house by the district? 3. Are diplomas and/or diploma covers purchased or paid for by the graduates themselves, or by the school/district? 4. Will the awarded vendor own the exclusive rights to provide services in the district for all other graduation products – specifically, class rings, announcements, and spirit wear? 5. Part V of the RFP speaks to Added Value, but this does not receive any evaluation weight. Should these items be scoped out in the Technical and Cost Proposals to ensure they are included in the evaluation and scoring, or will the valuation be adjusted to apply relevance to this part of the bidder’s response? 6. So that all prospective bidders can accurately share relevant pricing, can you please provide specifics to the materials, design and custom elements for each high school in the district, as well as an estimate of the number of graduates? 7. Have their been any issues historically for the district or its respective schools with concerns on quality, delivery, service? Are there any major priorities that should be the utmost priority with the chosen vendor?

Response: 1. No, this can be based on the vendor and school. 2. Diplomas are typically printed in-house in FCPS. 3. Graduates 4. No, just products for graduation 5. They should be included in the Technical proposal and any additional costs in the cost proposal 6. 2,700. We cannot provide custom information as this changes year to year with schools. 7.
