Description: Okaloosa County will award this security system maintenance, repair, and support services contract based upon a best value evaluation of all Vendors. This will include evaluation of the technical capabilities of Vendors, management approach, past performance, and price. Parts A and B will be submitted together in one electronic package but clearly marked so that they can be separated by Okaloosa County Purchasing. Part A will be reviewed and scored by the County’s standing Procurement Selection Committee and Part B will be independently scored by Purchasing Department staff so that it is understood and done uniformly for each submission.

Question: I did not see any equipment, quantities, or plans that shows what is being requested. Where are vendors able to find out what this project is for?

Question: Page 4, Section 1b: Technical Approach Section A of Submittal and Evaluation Process (page 69 overall) states "quarterly 40 hour requirement" however on Part B-Price bid item no. 1: It says "Fixed prices for quarterly services per year (120 hours) for the next three years..." can we confirm that we mean 160 hours annually?

Response: The annual hours should be 160, 40 hours for PM per quarter.

Question: In reference to page 3 of 5 in the Submittal and Evaluation Process, Section 1b A. states, 'Provide classification of employees and duration they will be on site to meet the quarterly 40-hour requirement.' However, under Part B - Price, Bid Item 1 states, ': Basic services: Fixed prices for quarterly services per year (120 hours) for the next three years plus options for two one-year extensions.' Our question, is the total for quarterly service hours 30 (120 annual) or 40 (160 annual)? And please advise if we are misreading the requirements in some way. Thanks!

Response: The annual hours should be 160.

Question: Can we do MSRP minus instead cost plus for Part B, Bid Item 4a. We have NDAs with our partners in most cases and can’t share our price from them.

Response: The County would determine a fair minus percentage. This can be discussed with the selected vendor if an issue during Legal coordination.
