Description: The purpose of this Request for Quotes (RFQ) is to solicit bids and sell surplus technology equipment through a fair and competitive process. The District intends to acquire the best possible price for these devices and invites appropriately qualified vendors to submit a quote for purchasing equipment described in the Surplus.docx document. Proof of certification must be submitted with the quote. Quotes without certification documents will be disqualified.
The vendor submitting the bid must provide the District with certification verifying that all purchased equipment will be either responsibly recycled (e.g., R2, ISO 14001, e-Stewards) or prepared for resale after erasing all data using an international data wiping standard (e.g., U.S. Department of Defense 5220.28-STD, Pfitzner Algorithm, Germany VSITR, Gutmann MFM). The vendor submitting the bid must be certified. Bids will not be accepted from non-certified vendors who partner with another company for this service.

Question: Is the district planning to replace all known broken iPads (broken screen, no power) through AppleCare+ prior to them being released to the winning bidder (best effort)?
Response: The district will give a final count at the end of May and exclude broken iPads for release on June 12th. The district will send all AppleCare covered devices out for repair. We will negotiate with the winning bidder to purchase the returned AppleCare repaired iPads. Those iPads can be picked up after they are returned to the district. If we don't come to an agreement with the winning bidder, then those iPads will be posted for purchase at a later date.

Question: 1. Will there be an in-person inspection or virtual viewing of the devices? 2. Will a Certificate of Insurance and/or R2 Certificate need to be submitted with the bid?
Response: These devices are still in use by teachers and students until the end of May. There is not a way to have an inspection of all the devices. We provided a photo of a single iPad and MacBook. No. Having the certificate is a plus but not required. We will wipe all of the devices and we expect these devices to be reused and not recycled, We will not have broken devices in this lot.

Question: I would like to confirm that the amount due prior to pickup is the minimum amount reflected in the gradation pricing with the remaining balance due after completion of the vendor's audit process?
Response: Yes. We would like the minimum prior to pick up and the remaining after the devices are graded. Also, we may select a vendor that has the highest guaranteed price.

Question: Good Morning, I have a question in regard to this RFQ: - In Section 9.3 it states payment must be made prior to the pickup. If we are submitting Graded Pricing, are you only requesting the Guaranteed Minimum be paid prior to removal?

Question: How specific do we need to be about how we will perform the pick up? Is subcontracting a freight forwarder to do the packing and shipping going to be allowed?
Response: A general summary of how you plan on picking up the devices. We want to know what you expect of us. Basically, how many hours/days do you need us to allow you access to the space.We are flexible and can get all the details after we award the bid. Yes, subcontracting a freight forwarder to do the packing and shipping is allowed.
