Question: On page 2 of the RFP, the City mentions Agenda Management. Is Conroe looking for an Agenda Management Solution - or does the City just want to be able to manage the files for the agendas and have a central repository for the files?

Response: We would like to be able to manage the files for the agendas and have a central repository for the files

Question: Pages 7-8 of the RFP list a variety of forms that are to be completed as part of the submission and states that sample forms are attached to the RFP, but they are not. The link provided will allow us to complete 1295 online, but I didn't see the other forms on the TEC website. Could you provide the required forms (Conflict of Interest Questionnaire, HB 89 Verification Form, SB 19 Verification Form, SB13 Verification Form, SB 252 Verification Form)?

Response: The documents are uploaded to the RFP now.

Question: Is a citizen portal required as part of this project? Are there security requirements for a staff intranet other than basic authentication for login (with SSO in the future)?

Response: We are interested in the concept of a Citizen Portal. We are not asking for this at this time but please provide information.

Question: Does City of Conroe currently use a software to manage activites and classes? If not, would you consider integrations to external services to provide booking management?

Response: Individual departments use 3rd party programs. The City of Conroe website will need to incorporate their programs.

Response: Not at this time, but those options can be reviewed in the near future.

Response: We currently edit and manage within the CMS, however, are interested in external integration.

Can the City of Conroe clarify if the scope of this requirement is for the vendor to replace the functionality of the Active Networks solution, or if linking to Active Networks is sufficient to meet this requirement?

Response: linking to Active Networks is sufficient to meet this requirement.

Question: Can the City of Conroe clarify the features and functionality required for the “Agenda Management” requirement? What features are expected with regards to agenda approval and to “manage agendas”. Is there an existing solution?

Response: We currently utilize AgendaQuick. We are open to view any similar program.

Question: Regarding the requirement for allowing files up to 1GB in size, can the City provide the total number of files and the total size of all files on the existing site?

Response: We don’t have the exact file size data. We currently have 407 images (our largest files)

Response: We can not confirm the providers, however, we are using at least three separate providers with different departments. We are open to any and all potential providers.
