REQUEST FOR PROPOSAL
NON-CAT GENERATOR MAINTENANCE

Notice is hereby given that the Board of County Commissioners of Okaloosa County, FL, will accept sealed bids until 3:00 PM (CST) Jun 11, 2025 for the Non-Cat Generator Maintenance.

Interested respondents desiring consideration shall submit their response online at Vendor Registry through the link provided below:

Unless otherwise stipulated in the bid/bid description, all responses must be submitted using Vendor Registry only. No other means of submission of responses will be accepted. Responses will be accepted by Vendor Registry until 3:00 PM (CST) June 11, 2025 at which time all timely submitted bids will be opened and reviewed.

A Non-Mandatory Pre-Bid meeting will be conducted at the Okaloosa County Purchasing Department, 5479A Old Bethel Rd, Crestview, FL 32536 on June 2, 2025 at 8:00 AM (CST).

The County reserves the right to award the bid to the lowest responsive respondent and to waive any irregularity or technicality in bids received. Okaloosa County shall be the sole judge of the bid and the resulting Agreement that is in its best interest and its decision shall be final.

Non-Cat Generator Maintenance

Please find the attached document and information below, for the above referenced Addendum 1. This Addendum is hereby made a part of the Contract Documents and Specifications of the above referenced project. All other requirements of the original Contract Documents and Specifications shall remain effective in their respective order.

The purpose of Addendum 1 is to address vendor questions submitted prior to the last day for questions date.
I. Questions / Answers
Question #1: Good Afternoon, would it be possible to send a technician out to each site in order to retrieve data plat information so that I can quote a fair and accurate price for the Bid. Thank you!
Answer #1: All generators at the tower sites are the same brand – Cummins, and although they have different colors, they are all the same model C50 N6.

Question #2: The introduction specifies all units are to be load bank tested annually, but does not specify a duration for the test. How long would you like the load test to run?
Answer #2: One (1) Hour.

Question #3: Good Morning, we are in need of the KW size of each unit. Is that something you could provide please. Thank you!

Question #4: I don't see any information requiring a bid bond for the proposal, but I want to be sure we aren't just miss seeing it.
Answer #4: The solicitation is a Request for Proposals (RFP) not an Invitation to Bid (ITB), no bid bond is required.

Question #5: 1) Static checks B) Check or replace air filter annually. Will replacement air filter be charged as replaced or included in SM price?
Answer #5: Air Filters should be included in service & maintenance price.

Question #6: 3) Cooling System b) Check coolant level. Check for leaks and add if needed up to 1 gallon, repair if identified. Are the replacement parts and labor to be billed separately as completed? (This is for belts and coolant)
Answer #6: Yes, billed separately

Question #7: Are there any sites with restricted access?
Answer #7: Yes, all maintenance work must be scheduled in advance and escorts are required for all locations.

Question #8: Are there any sites that require badging and or escort to the unit?
Answer #8: See #7, all locations require escorts.
